How this is calculated

Each stint is measured by calendar borrowing — real months and real month lengths — rather than by dividing total days by 365 and 30, which drifts by a day or more across leap years.

Gaps between employers are excluded automatically, since each period is measured separately.

Work Experience & Duration Calculator: how it works

Total work experience needs to be exact when it goes on an application form, because eligibility often turns on a specific number of years and months.

Why the method matters

The obvious approach — count total days, divide by 365 for years and by 30 for months — drifts. Leap years and unequal month lengths mean the answer can be a day or more out, which matters when a recruitment notice requires exactly five years of experience as on a cut-off date.

The correct method borrows across calendar units, exactly as you would subtract dates by hand: subtract the days, borrowing from the month if negative, then subtract months, borrowing from the year.

Worked example

Worked example · From 1 June 2020 to 15 August 2026

Given

  • Start: 1 June 2020
  • End: 15 August 2026

Working

  1. 1Days: 15 − 1 = 14
  2. 2Months: 8 − 6 = 2
  3. 3Years: 2026 − 2020 = 6

6 years, 2 months, 14 days

Dividing 2,266 total days by 365 and 30 instead gives 6 years, 2 months, 15 days — one day out, from leap years alone.

Multiple employers

Where you have worked for several organisations, calculate each period separately and add the results. This handles gaps automatically: a break between jobs simply is not counted, because it falls outside every period.

What usually counts

  • Full-time regular employment: counts in full.
  • Contract and consultancy: usually counts, but some government recruitment excludes it.
  • Internships and apprenticeships: generally excluded unless the notice says otherwise.
  • Part-time work: often counted pro-rata, if at all.

Frequently asked questions

Subtract the start date from the end date using calendar borrowing: days first, borrowing from the month if needed, then months, borrowing from the year. For multiple employers, calculate each period separately and add them.
